Privacy policy
Version privacy-v2Effective
This policy explains what POM collects on pomnetworks.com and when you work with us, why, who handles it for us, how long we keep it, and how to ask us to change or delete it. It covers this website, its forms and the text messages you agree to receive through them and, if you are a client, the requests, proposals, invoices, payments, calls and emails we handle for you.
Who we are
"POM", "we" and "us" mean Peace of Mind Solutions Technologies LLC, which runs POM Studio and POM Networks from Deltona, Florida. We decide what is collected on this website and why.
Our mailing address is 3116 Covington Dr N, Deltona, FL 32738. To ask a question or make a request, see Contact.
What we collect and why
We collect only what you give us (in a form, a request, a call, a text or a signed proposal), what your browser sends, and what follows from your own choices.
- What you type into a form
- Your name and email address and, where a form asks for them, your phone number, company name, the services you need, your locations, how you heard about us, when you hope to start and a message. We use it to reply, to talk through your project and, if you ask for one, to send a proposal. The form also sends its own name, so we know which form you used.
- Where you came from
- The page you landed on, the website that sent you and the time of your first visit, plus campaign tags and ad click IDs when your link has them. We use them to see which campaigns and pages bring enquiries. Details: Where visitors come from.
- Your IP address
- We use it to limit how often a form can be sent, which stops spam and abuse. Details: IP addresses.
- Your choices
- We remember whether you accepted or refused cookies, and we record your agreement if you tick a text-message box. Details: Cookies and browser storage and Text messages.
- Client account and billing
- If you are a client: your plans and their monthly price, your design request allowance and how much of it you have used, your invoices and payments, the payment method you choose to save (held by Stripe, not by us) and whether you chose automatic payments.
- Requests you send us
- The type of request, a description, the date you need it by, and up to 5 files or a link to a file.
- Proposals and signatures
- The signed proposal, the signer's name, the date and time, and the signing record kept by HighLevel (where the signing platform captures them, details such as the IP address and device used to sign).
- Calls and texts with us
- Once we switch on Quo, our business phone and texting service: calls, voicemails and text messages with our business number, and for calls, recordings, transcripts and AI summaries. Details: Calls, voicemail and texts with us.
- Facebook and Instagram
- Once we switch on lead forms and messages there: what you submit or write to our page. Details: Facebook, Instagram and ad measurement.
We use this information only for the purposes above, to keep the website secure and to meet our legal obligations. We don't sell your personal information.
Where visitors come from
When you first visit the website, we keep a few details about that visit so we know which page and which campaign brought you. We do this for every visitor, whether or not the link had campaign tags:
- the campaign tags in the address, if there are any (utm_source, utm_medium, utm_campaign, utm_term, utm_content and utm_id);
- the Google Ads click IDs, if there are any (gclid, gbraid and wbraid);
- the page you landed on, as its path only, without any search terms or other query text;
- the website that referred you, if there is one, as its address and path only; and
- the time you first arrived.
We keep these in your browser's storage on your device, not through any other company's script, and use them for up to 90 days from your first visit. In that time a later visit doesn't replace them. After that they are no longer used: your next visit replaces them, and until then they stay in your browser's storage unless you clear it. They leave your device only with a form you send, such as an enquiry. Anything else in the link is dropped. We use them to see which campaigns and pages bring enquiries and to match an enquiry to the ad that brought it. You can clear them at any time in your browser's settings.
IP addresses
Every request to a website carries the sender's IP address. We use it for one purpose of our own: to limit how many times a form can be sent from one address in a short time, which stops spam and automated abuse. The address is turned into a one-way code before we use it for that, so we don't store it in readable form, and the counter expires on its own within minutes.
If you tick a text-message box we also record your IP address as part of the proof of your consent (see Text messages). Our host, Vercel, handles IP addresses in the course of delivering the website (see Who handles it for us).
Text messages
Text messages from POM are optional. We send them only if you tick a text-message box on one of our forms, or text START to (833) 997-6213, and you can stop them at any time by replying STOP. The full rules are in our SMS Terms (version sms-terms-v1).
What we record when you tick a box. So that we can show, if a carrier, Google or you asks, that you agreed:
- the exact wording shown beside the box, and its version;
- which boxes you ticked (texts about your request, offers and tips, or both);
- the mobile number you entered;
- the date and time, and the page and form you used;
- your IP address and your browser type (user agent); and
- if you opt out, how (the keyword or channel), when, and who processed it.
How we use your number. Only to send the texts you agreed to and to respond to you. We share your number and SMS opt-in only with the vendors that deliver our messages, such as our phone and customer-management providers. We may disclose information when the law requires it.
We don't share or sell mobile numbers, or SMS opt-in data and consent, with third parties or affiliates for marketing or promotional purposes.
Opting out. Reply STOP, END, CANCEL, UNSUBSCRIBE, QUIT, REVOKE or OPT OUT to any text, or tell us another reasonable way. See the SMS Terms.
Calls, voicemail and texts with us
This section applies once we switch on Quo, our business phone and texting service, for our number (833) 997-6213. We describe it now so you know before we use it.
Quo keeps a log of calls, voicemails and texts, with the phone number, the times and the content of a text or voicemail. We add that log to your record in our customer-management system, HighLevel.
Calls may be recorded. A message at the start of a call tells you. A recorded call can also have a written transcript and an AI-written summary. If you would rather not be recorded, email us instead.
Text messages you agreed to receive are covered by Text messages and the SMS Terms.
Emails from us
We email clients proposals, invoices, receipts, payment reminders and replies to their requests. We send them through our customer-management system, HighLevel, and from our business email. Our emails may tell us whether you opened them and whether you clicked a link.
Every marketing email from us has an unsubscribe link. Unsubscribing stops marketing emails. It doesn't stop invoices, receipts or emails about work you've asked for.
Facebook, Instagram and ad measurement
This section applies once we switch on Facebook and Instagram lead forms and messages, and ad measurement with Meta and Google. We describe it now so you know before we use it.
- Lead forms and messages. If you send a lead form, or a Messenger or Instagram message, to our page, Meta passes us what you submit or write, and we add it to our customer-management system.
- Meta ad measurement. We may send Meta an event, such as a lead or a purchase and its value, with a hashed (one-way coded) version of your email address or phone number, so that Meta can match the event to an ad.
- Google offline conversions. When a deal is won, we may send Google the click ID from your ad click (gclid), with the value and time, so that Google Ads can measure the ad. Where visitors come from says how we keep click IDs.
Meta and Google handle what they receive under their own privacy terms.
Who handles it for us
These companies process information for us, only to provide their service:
- Vercel
- Hosts and delivers this website. It receives the technical details of each request (such as your IP address, browser type and the page you asked for) and handles what you send through our forms on its way to storage.
- Upstash
- Stores each form submission while it is delivered to us and until it expires (see How long we keep it), and the short-lived counters that limit repeat submissions.
- Resend
- Sends us the email that tells us about your enquiry, which carries what you entered in the form.
- HighLevel (LeadConnector)
- Our customer-management system. It holds contacts, deals and notes, hosts our client request form (a page on leadconnectorhq.com), sends proposals for electronic signature and sends invoices, receipts, reminders and our emails. It holds your name, email address, phone number, company, plan and request details, uploaded files, signatures and signing record, invoice and payment status, and, where our emails report it, whether you opened them or clicked a link.
- Stripe
- Takes card and bank transfer (ACH) payments. Your card or bank details go to Stripe directly. If you choose automatic payments, Stripe saves your payment method, and for bank payments it can use its bank-linking service. We see the card brand and last four digits, or the bank name and last four digits, and whether the payment worked. We never store a full card or bank account number.
- Cloudflare
- Runs the bot check (Turnstile) on our request form, which looks at signals from your browser and device, and handles the DNS for pomnetworks.com.
Starting soon. We are setting up the providers below. They will handle your information only once we switch them on, and we describe them now so you know before we do:
- Quo
- Our business phone and texting service for (833) 997-6213. It logs calls, voicemails and texts on your record in HighLevel and can record calls and make transcripts and AI summaries of them (see Calls, voicemail and texts with us). It holds phone numbers and the content and times of calls and texts.
- Meta
- Facebook and Instagram lead forms, Messenger and Instagram messages, and ad measurement. It receives what you send to our page and, for measurement, an event with a hashed email address or phone number (see Facebook, Instagram and ad measurement).
- Google, advertising and analytics
- Its advertising and analytics tags, which load only if you accept cookies (see Cookies and browser storage).
- Google, offline conversions
- When a deal is won we may send Google the click ID from your ad click, with the value and time, so Google Ads can measure the ad. We also plan to use Google Workspace for our business email once the mailbox is live.
Each provider also follows its own privacy terms. For text messages, see Text messages. Before we start using another provider with your information, we add it here and update this policy.
How long we keep it
- A form submission
- The copy we store for delivery is deleted automatically 30 days after it has been delivered to us. A submission that could not be delivered stays until we have dealt with it.
- The email we receive about it
- Kept in our business email for as long as we need it to deal with your enquiry and to keep our business records.
- Proof of text-message consent
- Kept apart from the form store above, for as long as we need it to show that you agreed. An opt-out is kept so that we don't text you again unless you opt back in, for example by replying START.
- The spam-limit counter
- Expires on its own within minutes.
- Details in your browser
- Your cookie choice and your settings stay on your device until you clear your browser's storage. The details of your first visit (the page you landed on, the website that referred you if there is one, and the time, plus campaign tags and click IDs when your link had them) are used for up to 90 days. After that they are no longer used, and they stay on your device until your next visit replaces them or you clear your browser's storage. Details: Where visitors come from.
- Logs at our host
- Kept by Vercel under its own terms.
- Google, once its tags are on and you accept cookies
- Kept under Google's own terms and settings.
- Client records in HighLevel
- Kept while you are a client, then for as long as we need them for our business records.
- Invoices, receipts, payment records and signed proposals
- Kept for as long as tax and accounting rules require.
- Request files
- Kept with your request for as long as they are useful to your project.
- Calls, voicemails and texts in Quo
- Once Quo is switched on: kept under our settings in Quo and Quo's own terms.
- Payment details at Stripe
- Kept by Stripe under its own terms.
- Meta and Google, once we use them
- What they receive is kept under their own terms and settings.
Your choices and rights
You can ask us to tell you what we hold about you, to correct it, or to delete it, and you can ask us to stop texting you or to stop using your information for marketing. Email info@pomnetworks.com, call (833) 997-6213 or write to us at 3116 Covington Dr N, Deltona, FL 32738.
We may ask you to confirm the email address or phone number you used, so that we don't give your information to someone else. We'll reply and tell you what we did. We may keep information that the law requires us to keep, and the record of your consent or opt-out, which we need to show that we honor it.
- Texts. Reply STOP to any text.
- Marketing emails. Use the unsubscribe link in any of our marketing emails. It stops marketing emails, not invoices, receipts or emails about work you've asked for.
- Automatic payments. Contact us to turn them off. See Automatic payments.
- Cookies. Choose "Cookie settings" at the bottom of any page.
- Details in your browser. Clear your browser's storage.
Children
Our services are for businesses. This website isn't meant for children under 13, and we don't knowingly collect their information. If you think a child has sent us information, tell us and we'll delete it.
Changes to this policy
We may update this policy. The version and effective date at the top say which one you are reading, and any change in wording gets a new version. Before we start using another provider or a new kind of information, we update this policy.
